Initial phone consult to run through your plans and finalise the details. Final video call 1–2 weeks prior to finalise details & confirm logistics.

Timeline management. Creating a detailed timeline for the day and coordinating with suppliers to keep things running smoothly.

A master timeline will be distributed to all vendors as their day-of reference.

Vendor communication. Acts as the main point of contact for all suppliers, confirming schedules, deliveries, and logistics between ceremony & reception. Main point of contact for all vendors and staff, so you don’t have to be.

Setup. Manages the setup of décor, seating, and other elements to your specifications and ensures everything is packed up after the ceremony and transferred to the reception venue. Placement of personal items including guest book, signage, cake table details and other décor.

Guest coordination. Manages guest flow, ensuring everyone knows where they need to be, from the ceremony to the reception. Keeping the day on schedule and managing smooth transitions between formalities, briefing the MC, DJ and/or band on key timings etc.

Problem-solving. Handles any last-minute issues that arise, from seating mix-ups to unexpected weather changes.

Site visit/rehearsal- up to 2 hours (*excluded from 6 hour package).

Full Day Coordination rate is 8 hours. Additional hours are $POA.
